Create and manage teams
Group people so boards, chats, and assignments point at a team rather than at individuals.
You need to be an Organization Owner or Organization Administrator to create a team. See Roles and permissions.
A team is a named group of members in one organization, for example Maintenance or Second Shift. A team handle is the team's short, unique address inside your organization, written as handle:organization-handle, for example maintenance:acme. Anything that accepts people also accepts a team: Maintain board members, Scheduler board members, group chats, and work-order assignment.
Build boards, chats, and assignment lists from teams, not from people. A team is edited once when someone joins. A dozen boards named after individuals are edited a dozen times, and one always gets missed.
You do not need teams if your whole organization is five people who all work on everything. Teams pay off when the same subset of people keeps appearing in more than one place.
Create a team
Teams live in the member directory, next to the member list.
- Go to
/members. - In the Teams section, select Create Team.
- Enter a Team Name, for example
Maintenance. - Enter a Team Handle, for example
maintenance. The dashboard checks it half a second after you stop typing and reports "Team handle available" or "Team handle not available". - Select Add Members. This button stays disabled until the name is filled in and the handle comes back available.
- Search for each person by name, username, or email, and select them. Selected people appear as blue chips above the list.
- Select Create Team. A toast reads "Team added", and the new team appears in the Teams table with its name, handle, and member count.

You cannot create a team on your own. Create Team stays disabled until you select at least one other member, and the modal says so: "You will automatically be added as a member of this team." You never appear in the picker, because you are already in the team.

The handle is normalized as you type: it is lowercased, and anything that is not a letter, a digit, an underscore, or a space is dropped. Typing Maintenance-Team! leaves you with maintenanceteam. Handles are checked against the whole organization, so a team cannot take a handle that a member already uses.
Add and remove members
Open a team from the Teams table at /members to reach its page at /members/teams/<team-uuid>.
- Select Add.
- Search for each person and select them.
- Confirm. The member list on the team page updates immediately.
To remove someone, select the trash icon at the right of their row. The toast reads "User has been removed". There is no confirmation step, and no undo: add them again if you remove the wrong person.

Removing someone from a team does not remove them from the organization, and it does not touch their role or their machine access. For that, see Change roles and remove members.
Rename a team or change its handle
Both edits happen in place on the team page, under the team avatar.
- Select the team name. It becomes a text field.
- Type the new name and press Enter, or select outside the field. The name saves on its own; there is no Save button.
- Select the handle to edit it the same way. A spinner runs while the new handle is checked, then a green check or a red exclamation icon replaces it.
- Press Enter to save the handle.

Clearing the name field and clicking away restores the old name rather than saving an empty one.
Changing a handle changes how the team is addressed. Use the copy button beside the handle to get the full handle:organization-handle string, and tell anyone who had the old one.
Team owners
A team owner is a member who can delete the team. That is the whole of the power: being a team owner grants nothing else over the team's name, handle, or membership.
Select the crown icon on a member's row to promote them. The toast reads "Owner Added", and a green badge appears on their avatar. Select it again to demote them, and the toast reads "Owner Removed".
Give a team at least one owner who is not you. Otherwise the only people who can delete the team are the organization's Owner and Administrators, which is fine until the team is one you no longer administer.
Leave a team
Select More, then Leave Team. You are removed from the member list immediately.
Leaving is the same action as removing yourself, so the same warning applies: the team can end up with no owner, and nobody is asked to confirm. Promote another owner before you leave a team you own.
Delete a team
- On the team page, select More.
- Select Delete Team.
- Confirm in the Delete Team dialog, which asks "Are you sure you want to delete name Team?".
- Select Delete. The toast reads "Team deleted".
Delete Team is disabled unless you are a team owner, an Organization Owner, or an Organization Administrator. Hovering the disabled control explains why: "You must be a team owner or an organization admin to delete this team".
Deleting a team removes it from every board, chat, and picker that pointed at it. The people are untouched, but anything that named the team now names nobody. Check the team's boards before you delete it, and replace the team on each one.
On mobile
The team page is the same page in the IoTFlows mobile apps, in a full-height mobile layout without the dashboard chrome. Everything on it works: rename, handle, add, remove, owners, leave, and delete.
On Android, you can also reach a team from a Maintain board: open the board's member list and select the team to edit it there, without going through /members.

How to restrict an IoTFlows member to specific machines. Machine access is a per-person list of allowed assets, managed from the member directory at /members: each member row carries a control that reads All machines when the list is empty, or a stack of machine avatars when it is not. Opening it shows the Machine access dialog, where tapping a machine grants or revokes it immediately, with no Save step. An empty list is the default and means the member sees every machine. A restriction narrows everything, including the machine pickers on reports and work orders, so a member reporting that a machine disappeared has usually been restricted. Only an Organization Owner or Administrator can see or change the control.
The four IoTFlows organization roles and what each one can do. Organization Owner is the billing and ownership role, Organization Administrator runs day-to-day administration, Organization Member does the shop-floor work including downtime classification, and Organization Observer is read-only. A role says what someone can do; machine access says which machines they can do it to. Scheduler and Maintain boards carry their own Owner and Member roles on top of the organization role.
