Pin messages and add reactions

Keep the message that matters findable, and acknowledge one without typing.

A pin is a marker on one message that lifts it into a banner under the chat header and into the chat's Pinned Messages list. Pins and reactions both start from the message's own menu: right-click the message on the web dashboard, or press and hold it on a touch screen.

Before you start: have a chat to work in. See Start a direct or group chat.

Pin for the chat

  1. Right-click the message. On a touch screen, press and hold it.
  2. Select Pin for All.

Every member of the chat gets the banner, and the message picks up a small pin icon next to its timestamp. No role is required, and the message does not have to be yours: anyone in the chat can pin anyone's message, and anyone can unpin it.

Pin for yourself

  1. Right-click the message, or press and hold it.
  2. Select Pin for Me.

You get the banner and the pin icon; nobody else sees either, and nothing tells the chat that you kept the message.

Which pin do you want?

Pin for the chat when everyone needs the message: the drawing, the part number, the address of the site the crew is driving to. Pin for yourself when only you need to come back to it, so you are not editing everyone else's banner to keep your own note.

The banner sits directly under the chat header as soon as the thread has one pin, reading Pinned Message, or Pinned Message #1, #2 and so on when there is more than one.

  • Select the row to scroll the thread to that message. The banner moves on to the next pin, so repeated selections cycle through them.
  • Select the X to unpin.
  • Select the pin icon at the right to open Pinned Messages, the full list. Select Back to return to the conversation.

That list is a thread of its own, so the message menu works there too: right-click an entry for Unpin, Reply, Copy Text, and the delete actions.

Unpinning is not scoped the way pinning is

Both the banner's X and the list's Unpin remove the pin the message actually carries. If the message is pinned for the chat, either one unpins it for every member, even if you also pinned it for yourself. There is no way to drop only your own pin on a message the chat has pinned as well.

React with the quick row

  1. Right-click the message, or press and hold it.
  2. Select an emoji from the row that floats above the menu.

The reaction lands under the message as a chip carrying the emoji and small avatars of the people who chose it. Once a message has five reactions or more, the chips show a number instead of the avatars.

Select a chip to join that reaction. Select the chip you are already in to take your reaction back. Each person's reaction is a single emoji, so choosing a second one replaces the first.

The row holds a default set that IoTFlows sends with the chat. Inside the mobile app's web view it shows the first seven of them, and the rest sit behind the picker.

Find any emoji

  1. Open the message menu and select the chevron at the end of the reaction row.
  2. Type into Search Emojis..., or scroll the sections below it.
  3. Select the emoji.

The picker opens in place of the row and the menu, so the menu's other actions leave the screen while it is up. Dismiss it and right-click the message again to reach them.

The picker reaches the whole set, grouped under section headings. What you type goes to IoTFlows rather than filtering the panel locally, so the search covers every emoji the platform carries, not the handful in the row. Type wrench instead of scrolling the tool section.

Pin or reaction did not stick?

Chat rides a live connection of its own. When it is down, pinning reports Waiting for Network and a reaction reports Trying to connect, which is the same fault under a second string. Nothing is saved in either case, so do it again once the connection returns. See What works offline.

In a work order's comments

A work order's Comments tab is a chat thread, so it carries the same pinned banner, the same Pinned Messages list, and the same reactions. Pin the measurement the next technician needs rather than repeating it. See Work order detail.

On mobile

Chats are native on Android and on iOS 18 and later, where a long press opens the same menu with the same pin entries and reaction row. On iOS 17 and earlier the app opens the dashboard's web view, so these steps apply as written. See Install the mobile app.
